Organized planning of external events

You probably also plan one or two external events in your company. Conferences with partner companies or customer workshops on your company's products help to stay in touch with the relevant reference groups, ensure continuous innovation and provide more understanding of your products on the market. These types of events take place on a regular basis and are an integral part of the daily work of a large number of people.

But external events are of course not always relevant only in a business context. Open offices or office tours, for example, can give customers and partners an impression of how your company works. Especially in recent years, these opportunities have become more and more popular and can provide more transparency and, as a result, more trust among your external contacts.

Of course, 2020 in particular has shown us new ways to host events in new formats as well. Even if the classic face-to-face meeting with the personal experience and direct exchange will certainly remain the preferred form of event, it can also be worthwhile to dare to look beyond your own nose. Depending on the current situation, a remote event may also be worthwhile. This saves time and money and, depending on the occasion, may even be more suitable for the participants - for example, if they would have a very long journey.

External events are therefore of great importance in the company's day-to-day business. However, this also requires good planning. With Linchpin, we offer you a social intranet solution that makes event planning easier. The event portal gives you a precise overview of all upcoming events in and from your company, and you can quickly register yourself or others and, if necessary, unregister them. With just a few clicks you can create a new event, which you can then share directly with external contacts via a link or even directly with your colleagues. If the event is to take place remotely or as a hybrid event, you can make this clear when creating the event and add a link to the video conference.

Linchpin adapts to your existing environment: Event planning can be easily integrated into your systems. For example, you can synchronize upcoming events with your Google calendar from Google Workspace so that you can always keep track of all upcoming events.

The event portal

The event portal is the central point of contact for all events in your company. Here you will find an overview of all events that are coming up in the near future.

Using the filter function, you can narrow down the search results with keywords or by selecting a specific location or date. The upcoming events can be displayed in a tile view or as a list. In both views, you can see all relevant information at a glance, and you can subscribe or unsubscribe with just one click.

In addition, the sidebar provides access to your event categories, so you can display the events according to category.

If you want to create a new event, Linchpin offers you a variety of configuration options. In addition to the essential information such as title, date and location, this also includes some practical additional fields.

You can specify whether an event is planned on-site, remotely or hybrid and then add a conference link if necessary. With the help of the connection to the image portal Unsplash, events can be personalized quickly and easily. This immediately gives a good impression of what the participants can expect in the event and makes your intranet more dynamic. You can then enter more detailed information in the description field. You can also configure the different permissions, add the event to a category and link it to a Confluence page (where e.g. detailed information about the event can be found).

The 'Options' section provides you with further options, such as limiting the number of participants or the visibility of employees who have already registered.

You want to create more attention for your event? Via the options menu you have several possibilities to share an event with others.

On the one hand, there is the option to copy the event URL to the clipboard. You can then easily share the link with your colleagues via Google Chat, e-mail or the communication software of your choice. They will then have direct access to the event with all the important information and can register for the event. On the other hand, you can also post an event directly to the microblog. To do this, simply select the corresponding option in the menu and you can create your post. After you have assigned the post to a topic, you can write a text, mention employees or attract attention with a picture or GIF.

After publishing your microblog post, your colleagues can respond to your post with likes and comments - and even register for the event with one click from the microblog post.

All event functions of Linchpin are not only available for desktop, but also mobile for your smartphone or tablet. This way, you can find out about the upcoming events of the day and register for new events while you're on the go or in between. Of course, you can also create new events on the go and invite colleagues accordingly.
