What are recurring events?

It's the feature you've been waiting for! Events can now be recurring! You can configure a whole series of events at once, no more copy & paste :)

How do I create recurring events?

To create a recurring event, go to the event hub and click on the "create event" button. Now, a new dialogue opens up. Select "A recurring event" and click on create.

Event Details

Aside from your usual event details, you now have the option to choose a frequency. This is marked by a star as it is mandatory. Within the drop down menu, you have different options to choose from.

Frequency


Future events in this series will be created automatically by the system at the specified frequency.

In our example, the Intranet Q&A and support event starts on 27.11.23, a Monday.

You have the options to choose between different frequencies for your recurring event:

  • Daily
  • Every weekday (Monday to Friday)
  • Weekly on Monday (i.e. the day the event series starts)
  • On the last Monday of the month (i.e. on the last day in the month the event series starts)
  • On the 4. Monday the event series starts of the month (i.e. on the 4. day of the month)
  • On the 27. of the month (as our series starts on 27th of November)
  • Yearly on November 27
  • Custom


Custom Frequency



Within the custom frequency you have the option to choose the repeat frequency:

  • Day
  • Week
  • Month
  • Year

In addition, you can change the repeat rate by changing the number "1" underneath the custom drop down menu.



The Week Frequency

Here, you have the option to choose on which days of the week you want the recurring event to happen. Simply check the box of which day you want it to happen.

Here you can select whether you want it to be on the last Monday of the month, the 4th Monday of the month or the 27th of the month.

With both, the day and year frequency, you can change the repeat rate by changing the number 1 to your liking.


With regard to the size of the cache, the following rule of thumb can be approximated: "number of users * number of events * 8 bytes" additional heap space.



Options


Within the "Options" tab you have the familiar options. You can give the event series an event categorie, assign an event page, choose the maximum number of participants, hide the creator, check notifications to be notified when someone signs up or out of the event series, hide the pariticipants and the signup options.

How do I allow sign ups for recurring events?

When create the event series you can choose within the "Options" tab to allow signing up to your series.

How do I sign up for recurring events?

To sign up for an event series, simply click on the blue sign up button. You will be asked to sign up for either "only this event" or "this event and all following".

How do I sign out of recurring events?

To sign out of an event series, simply click on the blue sign me out button. You will be asked to sign out for either "only this event" or "this event and all following".

How do I edit recurring events?

To edit an event series, click on the three dots and select edit. A new dialogue pops up to ask you whether you want to edit only this event or this event and all upcoming events of this series. Depending on which option you choose, the editing is slightly different.

How do I delete recurring events?




To end a series, please use the "Delete" function. This allows you to delete an event and all subsequent events, thus ending the series.




To detele recurring events, click on the three dotted icon and select the option you want:

  • delete only this event
  • or delete this event and all upcoming events of this series, thus ending the series
